This article covers our recommendations for managing common area, multi-Unit, or "Property-level" maintenance in Property Meld. Since Melds are submitted at the Unit level, property managers should create a Unit to function as the common area when maintenance is needed. This way common area maintenance won't fall through the cracks, but will receive all of the efficiency and oversight Property Meld has to offer.
Examples of maintenance requiring this best practice:
- HVAC broke down for the entire multi-Unit building
- Property exterior needs painting
- Common entrance door is jammed
NOTE: If you integrate with Propertyware or Rent Manager, create the common area Unit and add Tenants to it from within that software, not Property Meld; then let the information sync to Property Meld before creating a common area Meld.
Create a Common Area Unit for a Property
Click Properties, then click NEW UNIT.
Enter the Property that needs a common area Unit. Enter additional specifiers if applicable (e.g. Building, Floor, Suite). For this example we simply enter "Common Area" as the Unit name. Enter maintenance notes if desired.
If you ever wish to notify Tenants at this Property for common area maintenance, add them to the Unit now.
NOTE: You can always manage Tenant notifications on a per-Meld basis. For more information, see Add/Remove Tenants on a Meld.
Click Tenants on the Unit card. Enter all Tenants on all Units at the Property.
Click SAVE CHANGES.
Now this Property has multiple independent Units and one common area Unit, and all Tenants at the Property are attached to both their own Unit and the common area Unit.
NOTE: If the common area Unit is ever deactivated, like any other Unit it can always be reactivated without losing its information and Meld history.
Submit a Meld at the Common Area
After creating a common area Unit with the steps above, you can now submit a Meld at this Unit.
Click Melds, then click NEW MELD.
Enter the common area Unit and complete the form. Select all Tenants you wish to notify for the maintenance.
NOTE: Do not select Tenant Presence Required unless Tenants must participate in scheduling the maintenance.
